Agree on dates, the transport that everyone needs, and any shared room or tour. Let each person choose food, shopping, rest, and optional activities. Write down cancellation rules and who has paid what.
Appoint a coordinator, not an owner of every decision
One person can collect confirmations, addresses, and deadlines. The coordinator should report options and risks, not silently decide for everyone. Keep booking access and receipts visible to the group.
Plan the morning of departure
